Location: Project Office, Doti

Starting Date: January 2025

Duration of contract: Four months with possibility of extension

Gross Salary: NPR 1,445,136 per annum negotiable based on competency

GNI Nepal is now implementing Advancing Nutritional Status of School Children in Doti Project, funded by the Ministry of Foreign Affairs in Japan working closely with Good Neighbors Japan. This project is dedicated to enhancing the nutritional health of school-aged children in Doti through sustainable, community-driven programs.

The Project Coordinator-Advocacy and Liaison is responsible for effective communication and coordination with government entities, community stakeholders, and schools to ensure smooth project implementation and alignment with local priorities. This role involves raising awareness on child nutrition and WASH, fostering partnerships with local and international NGOs, and managing the project’s annual plan and budget for timely execution. Additionally, the coordinator enhances capacity-building for team members and partners, identifies and mitigates project risks, and oversees documentation, including EOIs, ToRs, and official reports. By actively participating in recruitment and procurement processes, and capturing project successes through stories and multimedia, the coordinator plays a pivotal role in achieving project objectives and maximizing impact.

Major Duties and Responsibilities

A. Communication, Advocacy, and Liaison

  • Establish and maintain effective communication with Local Governments (LGs), District and Provincial level authorities, line agencies, civil society actors, project partners, and other stakeholders.
  • Represent GNI Nepal in local and district-level meetings as required, ensuring alignment with project goals.
  • Foster positive relationships with the project team, community members, children, and their families to ensure effective program implementation.
  • Strengthen partnerships with active I/NGOs to maximize synergies and improve project outcomes across the area.
  • Raise community awareness of child nutrition and health by providing technical support for school and community-led campaigns and developing social media materials such as articles and photos.

B. Project Planning, Execution, and Facilitation:

  • Support the preparation of the annual project plan and budget, ensuring alignment with project objectives and timely execution.
  • Oversee the timely delivery of construction and software materials to project sites.
  • Collect relevant resources (IEC/BCC materials, training resources, knowledge products) from various organizations and adapt their best practices for the project.
  • Facilitate LGs and community stakeholders to ensure the establishment of O&M funds and child health budgets for sustaining school meal programs and WASH facilities.
  • Assist in preparing activity implementation guidelines, procedures, and manuals.
  • Regularly update and share progress on activities and budget tracking through target vs. achievement dashboards with relevant authorities.
  • Develop and distribute IEC/BCC materials, success stories, fact sheets, posters, brochures, and multimedia tools to enhance project visibility.

C. Capacity Building and Gap Identification:

  • Supervise partner staff schedules and provide performance improvement feedback to ensure project goals are met.
  • Assist partner staff in adhering to project timelines and offer technical guidance when necessary.
  • Encourage and support partner staff in collecting and analyzing lessons learned and best practices to develop meaningful case studies and success stories.
  • Provide ongoing training, orientations, and counseling to project staff and partners to enhance project efficiency.
  • Identify issues, risks, and gaps in collaboration with donors, partners, and local stakeholders, and recommend corrective actions to ensure smooth project implementation.

D. Monitoring, Reporting and Field Visits:

  • Develop meeting reports and minutes for key project events, including inception and closure meetings.
  • Prepare and submit regular project reports (weekly, monthly, quarterly, and annually) to relevant authorities.
  • Conduct field visits to monitor project activities and ensure quality delivery, contributing to achieving expected outcomes.
  • Facilitate joint monitoring visits with project partners, LPAC/DPAC members, media, and other stakeholders to assess project progress.
  • Prepare field visit plans and share findings, challenges, and action points for improvement with the project team.
  • Support the timely implementation of activities and financial settlements and provide activity completion reports to track progress.

E. Inter-departmental Coordination and Support:

  • Ensure transparency and impartiality during procurement by supporting and monitoring procurement activities.
  • Coordinate closely with the Manager, Finance team, Engineers, M&E, and other team members to ensure timely implementation of activities and achievement of project goals.
  • Monitor inventory levels and material usage for project activities to ensure proper allocation.
  • Facilitate staff meetings, capacity-building sessions, orientations, and workshops for project team development.
  • Establish inter-departmental coordination for budget tracking and activity implementation, sharing progress on activity execution and budget utilization during team meetings.
  • Prepare key project documents such as Expressions of Interest (EOI), procurement documents, and vendor agreements in consultation with the respective teams.
  • Support recruitment processes for project staff, ensuring effective talent acquisition.
  • Assist the Finance staff in timely fund requests, releases, and financial settlements.
  • Regularly update and share the activity vs. budget tracking sheet to provide insights into progress and financial status.
  • Ensure proper financial management and provide feedback for financial settlements, supporting the team with financial tracking and compliance with donor policies.
  • Review and provide feedback on financial transactions and the management of official project assets, supplies, and documentation.

F. Additional Responsibilities:

  • Perform other duties and responsibilities as assigned or agreed upon with the supervisor

Job Requirements

The candidates should have the following key job requirements and skills:

  • Master’s degree in development studies, social science, project management, or any other relevant subjects/areas
  • Over five years of experience in Humanitarian and Development Sector.
  • Proven experience in large scale budget and team management with strong coordination, networking, persuasive communication, negotiation, and team mobilization skills
  • Sound knowledge of Logical Framework and excellent financial planning and budget monitoring skills
  • Sufficient knowledge of MS Word/ Excell/PowerPoint
  • Ability to work under pressure, meeting deadlines, and collaborating across departments.
  • Hold high integrity, honesty, flexibility, and self-motivation, with the ability to work independently and take initiative.
  • Strong analytical skills, demonstrated networking skills, and ability to take initiative.
